Implementing systems takes time and effort. Initially, it may feel overwhelming, but once established, these systems will yield long-term benefits. I remember my hesitation to hire my first team member due to the extensive training required. Looking back, I realize the initial effort was worth the immense long-term gains.
As your business evolves, so must your systems. While adjustments are necessary, tweaking an existing system is far simpler than starting from scratch.
4 Steps to Implement Systems That Will Transform Your Business
The beauty of systems is their potential for automation, whether through technology or team members. Identify daily tasks that can be systematized to simplify your life, then follow these four steps:
Step #1: Document the Process
For instance, write down every step from idea generation to posting to automate content creation. This clarity will facilitate systemization and ease future training.
Step #2: Leverage Technology
Now that your systems are written out, look at it and see if there is some type of software that could help you automate it. You can check out my list of software below that I use to systemize my business!
Step #3: Train Your Team
I hinted at this earlier, but when you have your systems written out onboarding new team members becomes less daunting. Detailed documentation ensures clear expectations and smooth transitions.
Try and make the steps as detailed as possible so your new team member(s) who will be taking over understand your vision and exactly what you want done. The more detailed you are the less confusion they will have. And when they have a clear vision they will do a better job at meeting your expectations.
Step #4: Monitor and Adjust
As any good strategist and CEO would do, you’re going to regularly assess the effectiveness of your systems and make necessary adjustments. Continuous improvement will optimize your operations and drive success.

System Software #1: Calendly
Calendly manages my scheduling, from podcast interviews to team meetings. Its seamless scheduling and reminder features keep everything organized.
One feature I love about it is when I request a meeting with someone they can choose what works best for them from my schedule. They can automatically see what works for me and choose from those options. Then, it’ll send reminders as the meeting gets closer to both of us to make sure we don’t miss it.
System Software #2: Descript
Descript is one of the BEST automation tools I found for my business. I use it to record my podcasts and YouTube videos. Descript automatically creates a transcript from my recordings and edits out filler words. My team editor for my content can then go in and edit the transcript and it will automatically make those corrections in the actual podcast and/or video recording. Amazing, right?
This tool is a huge game changer and has saved my team and me countless hours of work every week. Which means we can spend that time doing other things that will actually propel my business forward.
System Software #3: Monday
Monday.com centralizes project management, facilitating team communication and reducing email clutter. This is where our team receives their assignments. Everything is done here so things don’t get lost in back-and-forth emails. It makes things run much smoother and makes it so fewer questions need to be asked about where things are, the deadlines on projects, who is in charge of what thing, etc.
Monday allows you to set up automation for repeat work, reminders when items have not been done, and create updates on project status.
System Software #4: Honeybook
Honeybook streamlines client management, from initial inquiries to contract signing. It keeps all client paperwork organized and accessible. I use Honeybook for my client management system. Those who are interested in working with me will fill out a questionnaire and my team and I will figure out what types of services would be most helpful to them. Then, they’ll meet with my onboarding team who will send out a contract and other information they need to get started.

System Software #5: Slack
Slack enhances team communication, provides a structured platform for project discussions, and reduces reliance on text messages. This is where a lot of our team communication happens and different channels have different team members in each one so you can text only the people that need the info. You can send voice messages, video messages, or just plain text messages. You can share files, images, etc. and it has connections to things like Google Calendar and Canva.
I spent way too long letting clients text me. It took some time for me to move off of texting but now that I have, I wish I would’ve done it so much sooner. Slack is a great way to set up boundaries for you, your team, and your clients and allows you to focus on them at the right time, versus getting a text while you are picking up kids from school or on date night. Trust me, you and your mental health will love Slack!
